Last Updated: 29 June 2026
At NoeSysAI, we respect your privacy and are committed to protecting the personal data you provide. This Privacy Policy explains how we collect, use, store, and protect your data when you use our website, including our online forms and assessments. By accessing or using the site, you agree to the practices described in this policy.
1. Data We Collect
We only collect personal data when you choose to provide it, or that is generated automatically when you use the site:
- Contact form. When you contact us, we collect your name and email address to respond to your inquiry. You may include other information at your discretion.
- Surveys and assessments. When you complete one of our online assessments or surveys, we collect the details you submit. These typically include your name, work email, company, your role or seniority, your company size, and your answers to the questions asked. Providing this information is voluntary.
- Newsletter and AIBrief. When you subscribe to, or are given access to, the NoeSysAI AI Brief, we collect your email address (and, if you choose, your name) to provide it.
- Technical and usage data. When you submit a form, we may record technical information such as your IP address and the marketing source of your visit. We may also use analytics tools to collect anonymized usage data, including page views, time on site, and navigation behavior.
Note: We do not collect personal information unless you actively submit it, other than the anonymized analytics and technical data described above.
2. How We Use Your Data
We use your personal data for the following purposes:
- To respond to your inquiries and provide the information or access you request, including access to the AI Brief where offered.
- To understand and assess interest in our services, which includes reviewing and prioritising the responses we receive (lead qualification). Any automated scoring is only used internally to help us prioritise, and is reviewed by a member of our team before we contact you. It does not produce any legal or similarly significant effect on you.
- To contact you about NoeSysAI services that are relevant to your enquiry or assessment, where you have consented or where we have a legitimate business interest in doing so.
- To send you the NoeSysAI AI Brief and other informational or marketing updates where you have opted in.
- To improve our services and website functionality, using anonymized analytics.
You can unsubscribe from the AI Brief or opt out of marketing communications at any time using the unsubscribe link in each email, or by contacting us.
3. Legal Basis for Processing
Where the Swiss Federal Act on Data Protection (nFADP) or the EU General Data Protection Regulation (GDPR) applies, we rely on the following legal bases:
- Your consent, where you have provided it. You can withdraw consent at any time.
- Our legitimate interests in understanding interest in our services and in conducting proportionate business-to-business outreach, balanced against your rights and interests.
- Performance of a contract or steps taken at your request, where you ask us for information or services.
4. Data Sharing and Service Providers
We do not sell or rent your personal data, and we do not share it for third parties’ own marketing.
We do use trusted service providers (“processors”) to operate our website and manage the data you submit, under agreements that require them to protect your data and use it only on our instructions. These include:
- our website hosting provider;
- our online form software, used to collect and store form submissions;
- our customer relationship management and database platform, where survey responses and contact details are stored;
- our email delivery provider, used to send the AI Brief and follow-up communications;
- our website analytics provider.
Beyond these providers, we share personal data only where required by law.
5. Data Storage, Location, and International Transfers
We store personal data on secure servers, and we apply appropriate technical and organizational measures to protect it from unauthorized access, loss, or misuse.
Our survey and CRM data is hosted on infrastructure located in the European Union. Some of our service providers are headquartered outside Switzerland or the European Economic Area (EEA). Where personal data is transferred outside Switzerland or the EEA, we rely on an applicable adequacy decision or on appropriate safeguards such as Standard Contractual Clauses.
6. Your Rights Regarding Personal Data
If you are located in Switzerland or the European Union, you have rights under the nFADP and the GDPR, including:
- Right of Access: request a copy of the personal data we hold about you.
- Right to Rectification: correct inaccurate or incomplete information.
- Right to Erasure: request deletion of your data.
- Right to Object or Restrict Processing: object to or limit how we process your data, particularly for marketing.
- Right to Data Portability: request your data in a portable format, where applicable.
- Right to Withdraw Consent: where processing is based on your consent, withdraw it at any time.
If you are located elsewhere, you may have similar rights under your local laws. To exercise your rights, contact us using the details below. You also have the right to lodge a complaint with the competent supervisory authority in your country of residence.
7. Data Retention
- Contact form data is retained only as long as necessary to respond to your inquiry.
- AI Brief subscription data is retained while you remain subscribed; if you unsubscribe, your email is removed from our active list promptly.
- Survey responses and related contact details are retained while there is an active or prospective business relationship, and for up to 24 months after our last meaningful contact with you, after which they are deleted or anonymized.
- We otherwise retain personal data only as long as necessary for the purposes for which it was collected, or as required by law.
8. No Services for Minors
Our website is not intended for individuals under the age of 16. We do not knowingly collect personal data from minors.
9. Cookies
We may use cookies to improve user experience and gather anonymized analytics data. Cookies are small text files stored on your device. You can manage or disable cookies at any time via your browser settings.
10. Policy Updates
We may update this Privacy Policy periodically. Updates will be posted on this page with a revised effective date. In case of significant changes, we may notify you by email if you have submitted your contact details.
